Client background
LetScribe is a digital platform built for UK landlords and letting agents.
The goal was simple: help landlords run everything in one place.
Most landlords still rely on spreadsheets, phone calls, and scattered tools. That creates friction for both owners and tenants.
LetScribe came in to fix that.

Challenge
UK landlords were dealing with too many disconnected systems. Even the most diligent property owners were managing compliance, maintenance, and rent across four or five separate tools, none of which talked to each other.
The admin overhead was relentless:
- Compliance deadlines buried in email threads and calendar reminders
- Maintenance requests arriving by WhatsApp, phone, and post, simultaneously
- Rent collection handled through manual bank transfers and chased by text
- Contractor coordination done entirely off-platform, with no audit trail
And hard to scale:
- Every new property multiplied the management load, not just the revenue.
- Payment tracking was fragmented and unreliable across landlords.
- No visibility on portfolio-wide compliance status or upcoming renewals.
Solving the problem wasn't just about building an app. It required rethinking how a landlord's entire operational day is structured, and making complexity disappear behind a product that feels effortless to use.

Solution

There was no single existing product that did all of this well. We had to design the experience end-to-end, from information architecture to interaction design to the subscription model itself.

Our approach
Understand the workflows
We started with landlord research, not assumptions. We mapped the actual daily decision tree: what triggers a maintenance response, how compliance deadlines are tracked, how rent chasing really happens. The product architecture was built from those real sequences, not from a feature list.
Reduce complexity
UK property management carries an enormous information load, certifications, tenancy agreements, deposit schemes, contractor records. Our design challenge was to surface the right information at the right moment, not to show everything at once. We used progressive disclosure and a clear priority hierarchy across every screen.
Build fast for feedback
We shipped a working prototype to a group of landlord beta users within six weeks. Real usage revealed things no research session could, which features caused friction, which compliance flows needed clearer language, and where the subscription tier logic broke down. Iteration cycles were short and driven entirely by observed behaviour.
Design for different roles
LetScribe serves solo landlords with two properties and letting agencies with fifty. The same platform needed to scale across both without feeling bloated for the small user or constrained for the large one. We designed a tiered plan architecture and adaptive dashboard views that respond to portfolio complexity, not just portfolio size.

A structured issue lifecycle from tenant submission to contractor resolution. Every step is logged, time-stamped, and visible to both landlord and tenant, eliminating the back-and-forth that kills response times.

Certifications, tenancy renewals, and inspection schedules live in one view, with automated expiry alerts. Landlords no longer need to remember; the platform surfaces what needs attention before it becomes a legal issue.
Subscription & rent management
Plan tiers matched to real operational needs, from solo landlords to professional portfolios. Rent collection, advance options, and payment tracking are built into the subscription model, not bolted on as add-ons.
Vendor consultation communications
Built-in messaging and contractor coordination tools eliminate off-platform communication. Every conversation, quote, and work order is tied to the property and the issue, creating a complete audit trail and reducing landlord liability.
